Overview
You can create a traditional invoice from an estimate that has been approved by your client. You can invoice a dollar amount, a percentage of the project total, or a percentage of the remaining balance, or turn on itemized invoicing to invoice for specific items in the estimate.
Before You Begin
- The estimate must already be approved by the client.
Open the Invoices for the Project
- In the left-hand menu, click Jobs.
- Click Job list and select the estimate. You can also click Pipeline and select it from there.
- In the estimate's left sidebar, under Production, click Payments. The Invoices page shows all the outstanding and paid invoices on this project.
Create the Invoice
- Click Create new. The New Invoice window opens and shows the Invoice, Customer info, and Job info for the project, including the current project total.
- Enter the amount you want to invoice using one of these fields:
- Amount: A dollar amount.
- Amount (% of project total): A percentage of the total project value.
- Amount (% of balance): A percentage of the remaining uninvoiced amount of the project. This is generally used for the second and later invoices.
- To invoice for specific items in the estimate instead, turn on Itemized invoicing and select the items you want to invoice for.
- Under Dates, change the Invoice date if needed. You can create the invoice now and date it for the future.
- Next to Due, click the dropdown and select when the invoice is due (for example, Immediately, 15 days, 30 days, or Custom).
- In Message/description, enter a description for the invoice.
- Click Save. You can send the invoice later, or send it right away.
Why This Matters
- You can bill your client a set amount, a percentage of the project, or a percentage of what's left to invoice.
- You can prepare an invoice now and send it in the future.
Summary
To create a traditional invoice, open the approved estimate and click Payments, then click Create new. Enter a dollar amount, a percentage of the project total, or a percentage of the balance, or turn on Itemized invoicing. Set the invoice date and due date, add a description, and click Save. You can send it right away or later.
