Overview
The Materials view in an estimate's Budget brings together everything in your estimate that is a material, along with quantities, purchase quantities, and purchase costs. From there you can create a vendor order, an expense, or an invoice, or export the materials list to Excel.
Open the Materials List
- In the left-hand menu, click Jobs.
- Click Pipeline and select the estimate. You can also click Job list and select it from there.
- In the estimate's left sidebar, under Production, click Budget.
- In the top right corner, click Materials.
Review Your Materials
The Materials list shows every material in your estimate. Columns are grouped under headers such as Classification, Quantity, and Purchase details.
- To minimize or expand a group of columns, click its header (for example, Purchase details).
- Review the quantities for each material, including Dimensional qty, Purchase qty, and Purchase cost.
- To narrow the list, use the filters at the top: All vendors, All, To purchase, and Subcontractor provided.
Create a Vendor Order From the Materials List
- In the top right corner, click Vendor order. The Create vendor order window opens.
- Under Vendor/Subcontractor, click Select or create vendor... and select the vendor.
- Under Items, check the box on each item you want to include in the order.
- Scroll down to Advanced settings. Optionally, enter Terms & conditions.
- Turn the toggles on or off to choose what the vendor sees: Hide items, Show item pricing, Show order pricing, Show descriptions, and Lump sum. For example, turn off Show item pricing and Show descriptions.
- Under Summary, click Preview to see what the order looks like in the Order Preview window. Click Close when you're done.
- Click Save to save the order for later, or click Save & send to send it.
Create an Expense or Invoice
- From the Materials list, click Expense or Invoice in the top right corner.
Export the Materials List
- Click the gear icon (Sheet options) above the list.
- Click Export. The materials list downloads in Excel format.
Why This Matters
- You can see every material in your estimate, with purchase quantities and costs, in one place.
- Creating vendor orders straight from the materials list makes ordering faster.
- You can export the list to Excel when you need it on your computer.
Summary
To view your materials, open the estimate, click Budget under Production, then click Materials. Review quantities and purchase costs, create a vendor order by selecting a vendor and items, adjusting the advanced settings and previewing it, then save or send it. You can also create an expense or invoice, or use the gear icon to export the list to Excel.
